Send the first one 3 days before the due date, one on the day, and a follow-up 3 days after. If a parent still has not paid after two weeks, invite them to a meeting instead of sending stronger messages.

Keep it short and specific: greet the parent, name the student and class, state the amount and the due date, give one way to pay, and thank them. Add a line asking them to ignore the message if they have already paid.
A good default is 3 days before the due date, 1 day before, on the due date, then 3, 7 and 14 days after. After two weeks, invite the parent to a meeting rather than sending stronger messages.
Message each parent one-to-one, never in the class group. Use a friendly tone, include the exact amount, the due date and a payment link, and offer a phone number for anyone facing difficulty.
